Shipping Administration: Coordinate export shipments as per instruction and ensuring that relevant parties are informed and expediting when necessary Start up the export file and ensuring that correct information is in these files according to latest agreed checklist Ensure that Outstanding Exports spread sheets are always up-to-date in order to keep all parties informed about the shipments Prepare export documentation accurately and timeously to ensure minimal delays Prepare all relevant shipping instructions including: shipping instructions accurately timeously and communicate with relevant parties in this regard Prepare final client documentation as required per shipment and ensure that these reach the client in good time Ensure that shipments that are not sent without Letters of Credit when necessary All clearing and forwarding related issues to be followed up and completed in order to meet deadlines liaising with the Procurement Manager where necessary Liaising with procurement in regard to direct cross trades ensuring all documentation is correct and with the correct person t the required time Rates: Liaise with Procurement Manager regarding rates and prices to maximise cost efficiency Quote stock availability and prices for clients upon client request and/or request from Procurement/Sales Manager Timeously updating clients with all shipment and order details and any changes thereto SAGE and Due Processes: Liaison with warehouse supervisors and factories as to packaging and stock availability for export orders Issue Sage Works orders to production and communicating the order to relevant parties Follow up with production as to availability and completion dates for orders Generating SAGE sales orders and all the required documents related to quotations from Sales Invoicing export orders on SAGE including accurate costing Advise and ensure compliance with company policies Communicate with management regarding any irregular issues/concerns Managing and reporting Key Performance Indicators for exports Finance: Ensuring client funds are deposited by liaising with the Procurement/Sales Manager Clients Nedbank / Accounts Dept Checking with clearing and forwarding agents that rates are being charged correctly Ensuring that payments are made timeously and c orrectly Issuing customer statements Reconciliation of accounts and monthly accruals or to apply for this vacancy.
