Reporting to the National Operations Director you will be responsible for helping to achieve the company s sales turnover on time delivery and profit targets. The major focus and responsibility of the Operations Manager is to assist in the creation and maintenance of a culture of excellent service in all facets of our stores. Area Managers report to the Operations Manager with all operational requirements and responsibilities which include controlling the profits of the stores stocks security administration and shrinkage. He/she is responsible for the general performance of the stores within his/her area. As part of the senior management team you will also be jointly responsible for contributing towards the achievement of the company s strategic and operational targets and overall business aims. Monitor & review store operations to ensure correct quality standards Monitor performance standards. Monitor review and address personnel under performance liaising with the National Operations Manager and HR and maintaining appropriate records in accordance with company procedures as required. Address any staff discipline or grievance issue in conjunction with HR maintaining appropriate records in accordance with company procedures The job role may include other reasonable duties/tasks from time to time.
The Project Programme Manager has oversight of the purpose and status of all projects in the Cape Town office and can use this oversight to support project-level activity to ensure the overall program goals are met by providing a decision-making capacity or by providing the Project Manager with a programme perspective when required or as a sounding board for ideas and approaches to solving project issues that have programme impacts. Secondary to this the Project Programme Manager is responsible for coordinating all phases of TTRO s proposal process in response to government and commercial requests for proposals (RFPs) from concept through to presentation to the client. If the proposal is accepted the Programme Manager is responsible for handover to the Project Manager. Essential Job Functions Programme Management - Ensures management of all Cape Town based Project Managers their associated projects and any additional resources needed to execute the project - Oversees the execution of project work plans per TTRO project and revises as appropriate to meet client changing needs and requirements - Identifies resources needed and assigns individual responsibilities - Oversees delivery on all Cape Town projects by managing the project pipeline in time within quality and on budget - Reviews all project deliverables prepared by the Cape Town based project management team before passing this on to the client - Effectively applies TTRO PM methodology by ensuring the development of applicable standards and guidelines - Project resources risks identified managed and mitigated effectively - minimises exposure and risk on project - Ensures project documents are complete current and stored appropriately Relationship Management - Develops and maintains an effective customer relationship management (CRM) system to meet the demands - Oversees the management of day-to-day client interactions - Oversees the management of client expectations with the Cape Town project team - Oversees the communication with clients to identify needs and evaluate TTRO solutions Programme Budget Management - Forecasts requirements and prepares a project budget based on work effort - Influences the factors that create variances and controls changes to the project budget - Assure potential cost overruns so that they do not exceed authorised budget - Monitor cost performance and understand variances - Analyse variances and initiate corrective actions - Provide weekly management information on total spend against the budget Proposal Process Management - Review requests for proposals (RFPs) - Develop proposal plans outlines and schedules - Co-ordinate and produce the proposal response while assembling a proposal team with the relevant service / product / business knowledge required to win - Prepare questions for the potential client and lead storyboard sessions with proposal team members and client representatives Develop Proposal documents - Establish priorities and target dates for information gathering writing review and approval to meet proposal deadline - Gather proposal information by identifying sources of information - Co-ordinate submissions and collections - Identify and communicate risks associated with proposal - Co-ordinate and review / edit proposal input from a variety of stakeholders typically involving contributions from sales marketing operations and project managers finance and legal - Evaluate project fees provided by finance and operations managers against what is known about the client the budget and work effort required and adjust accordingly - Produce professionally written proposal content that clearly articulates the company s value proposition - Review proposal draft and final versions for responsiveness to RFP thoroughness accuracy resources financial considerations quality and effective design and layout Skill Requirements Qualification Undergraduate degree Formal Project Management certification Matric Work Experience Proven track record in programme management (at least 5 years) Project management experience in a Digital environment Strong experience in dealing with a variety of stakeholders with particular skills in communication consultation and negotiation Essential Knowledge PM BOK AGILE Project Management MS Project MS office suite packages Knowledge Advantageous Learning and development How to apply? Principal duties and Responsibilities Academy Operations o Manage daily operations of Academy. o Ensure adherence to all operational deadlines to ensure learner complete within the learnership timeframes and according to schedule. o Ensure necessary information is send to relevant staff members timeously and according to timeframes. o Proactively report challenges facing the disability learnerships to the Operations Manager. o Timeous and accurate reporting of Academy stats and update dashboards. o Coordinate site visits. o Timeous order stationery according to budget. o Ensure payments are processed according to standard procedure. Management of Learner wellbeing o Identify and address present and future needs of students. o Review analyse and follow up on learner absenteeism. o Guide and support learners. o Discuss individual progress and problems of learners with facilitators. o Ensure availability of support services to learners. o Schedule fun days for the learners and celebrate disability days. o Maintain discipline in the Academy. Facilitation and training o Liaise with facilitators through a weekly meeting to ensure delivery of training program. o Ensure all the necessary material and equipment is supplied for each module. o Ensure facilitators effectively engage with learners and that knowledge transfer takes place. o Internal audit facilitation sessions. o Monitor and perform ongoing evaluation and assessment of training quality and effectiveness. o Review and modify training objectives methods and course deliverables. o Ensure most up to date material is utilised at all times. o Review weekly facilitator report and ensure it is submitted on time. o Ensure all documentation is filed correctly in learner POE. o Ensure POE and Quality file is set up methodologically maintained and auditable. Practical Work o Plan and organize practical session for each module. o Ensure logbooks are completed and evidence provided. o Plan budget and order material required for learner practical work and assessments. o Submit budget to manager for sign off. Assessments o Ensure assessments are planned scheduled and executed according to timeframes and requirements timeously. o Ensure learners are notified of assessment timeously. o Ensure all documentation for assessments are supplied timeously and completed accurately and according to Assessment SOP. o Ensure assessments are completed and conducted according to requirements; this includes but is not limited to pre-assessments post-assessments and remediation. o Ensure adherence to assessment principles. o Ensure assessments are conducted fairly and according to required standard. o Ensure assessments are quality checked and signed off according to requirements. o Ensure all learners receive feedback on assessments. o Ensure assessor reports are completed and necessary changes are made.
