Matric or Accounting equivalent Experience with Debtors function ( at least 3-5 years experience ). MS Office e-mail. Must have a thorough knowledge of excel advanced spreadsheets. Baan system experience an advantage Must be able to work under pressure Able to reconcile all accounts English proficiency a must (read write and speak). Applicant must reside on the East Rand. Must have reliable transport source.
1 Ensure that all purchased vehicles are entered on the SPL system timeously. 2 Check totals of invoices to processed amounts. 3 Process orders for all accessories that are costed and signed off by the Dealer Principal or Sales Manager. 4 Check all files for the necessary documentation before invoicing. 5 OTP must be signed by customers and Manager. 6 Trade in Valuation must be signed by Manager. 7 Deal file must be signed off by Dealer Principal. 8 Bank approval or Company order must be in the file. 9 Copy of Customer ID all orders and suppliers invoices settlement letter or proof of payment on all trade ins and HPI s must be in the file. 10 Once invoiced ensure that the computer cost sheet balances with the manual cost sheet. If there are any discrepancies they are to be rectified. 11 Ensure that trade ins are brought in with ALL particulars i.e. chassis no engine no register no and description. 12 Follow up that all settlements are paid over to the bank. 13 Once vehicles are delivered the file must be checked and signed by the Dealer Principal before filing. 14 System ( Auto - Mate ) 15 Control Stock Take Stock take to be done once a week 16 Balance Automat & Autoline 17 Release Manufacturers on Autoline System 18 Load Ex Vender on Internet 19 Send documents in for Lic & Reg 20 Orders to Suppliers - Vehicle 21 Petty Cash 22 Orders to Suppliers - Office use Materials
