Gives ongoing feedback to Office Services Team leader and Head of Office Services regarding the status of all activities tasks and projects and in terms of what is happening on the ground. Drives client communications within their area to effectively promote activities tasks and projects and escalating as necessary. Provides relevant feedback on comments (albeit in passing) and concerns raised by clients. Continually chases outputs ensuring all tasks maintain momentum to achieve ongoing progress / finalize outstanding matters and constantly deliver OR make sure the matter is escalated. Pushes for world-class standards / the company s value of excellence within portfolio and area of responsibility to ensure quality of offering and attention to detail. Adheres to the highest client service ethic and delivers at a world-class standard including approach to clients and all operational aspects such as handling of telephone calls walk-in s turnaround times on client service requests footprints descriptions communication back to clients. Proactively considers ways to make our client s lives easier and to offer true value-add to the firm and in terms of all office services activities tasks and projects presenting these for discussion and debate to the Offices Services Team Leader and Head of Office Services. Constantly evaluates and considers changes to existing SOPS/workflows (in line with the SC process on how to change things and driving new ways of thinking across the team to differentiate the company in the market and improve the service offering. Ensure they are aligned and understand why things are done as they are and the strategic purpose behind activities tasks and projects. Has a strong work ethic working hands-on on the ground with other team members and in accordance with the SC living the company s values and endorsing one-team at every opportunity and in all respects escalating issues as necessary.. Pending successful incumbent s expertise and experience certain activities and tasks will be assigned to them below are examples of some of the types of activities and tasks for which the incumbent may be responsible and/or act as a back-up - this role is hands-on : Stock control and administration: putting in place and ensuring there is ongoing control of resources stationery holding stock and branded stock items. Ordering and distribution of stationery to service department and clients and putting the necessary systems in place to ensure client satisfaction and ongoing effectiveness of service. Helpdesk System ensuring that all client requests are directed to the correct person timeously. Responsibility for all document handling processes in conjunction with a one-firm approach e.g. delivery and receiving processes (couriers docex registered post filing/serving stamping all incoming mail franking of outgoing mail) Ground floor reception area visitors filing/servings deliveries including special services such as car wash Supplier management and looking after the company s interests including ensuring cost effectiveness monitoring ROI against market offering pushing for best deal for firm and constantly looking at improvements and new ideas that are applicable to area to ensure a world-class offering The following demonstrable experience is essential: Ability to analyze and manipulate information working with spreadsheets and databases and understanding the logic relating to date e.g. fields filtering and search queries. A hands on approach in terms of practically and physically delivering what is required e.g. moving boxes dead filing walking the floor retrieving unused (excess) stationery delivering / collecting urgent documents being available after-hours Willingness to serve others (in a practical and hands-on sense) e.g. offering clients hands-on assistance to unpack boxes. Exceptional computer literacy in MS OFFICE suite. 5 years work experience. Experience working within a Client Services industry. Some experience within a professional services environment and understanding of the unique nuances of a law firm. Some background in an entrepreneurial environment and/or to having run / exposure to running one s own business. Front Office experience is essential. Candidates must be willing to work shifts.
