Property Leave Administrator

Supports and assists the Centre / Property Manager with all customer-facing functions and performs financial and admin-related functions that take place within the division in order to optimise the return on investment over the long term. Specific KRA s Responsibility for custody of PM financial information and records (e.g. Creates and maintains tenant files and ensure that all information on tenant files is kept up to date) ) Captures all information relating to lease agreements promptly (amongst others lease renewals vacate flysheet increases in rentals / operating costs vacation dates etc.) - including the timeous capturing of monthly recoveries the calculation and billing of turnover rental due Ensures all write-off s reversals admin fee and tenant deposits are captured accurately and in accordance with the company policies Undertakes reconciliation s between lease data and tenants building & financial information on a regular basis Assist Property / Centre Manager in tenant liaison including dealing with tenant queries and disputes and ensure the resolution thereof (- e.g. perform tenant recons etc.) Maintain a register of building inspections relating to vacating tenants and annual inspections and a register of tenant visits Ensures that all income and operating costs are correctly charged and accounted for and operating cost adjustments are effected where appropriate. Advise Centre / Property Management of all risks and potential vacancies to assist in decision making Prepares monthly rental billings and tenant statements (including validating the brought forward amounts on rent statements) and distribution to tenants according to the standard monthly deadlines Ensures that where the tenant is required to pay for expenditure incurred by the landlord that the proper documentation is completed and that the amounts are recovered in accordance with the lease agreement (including vacated tenants Calculation and capture of monthly and annual turnover information from tenants and reporting thereof - (Collection of audited turnover certificates and assist in support of the T/O rental audit project with auditors where applicable Assist Property / Centre Manager in the drawing up of flysheets lease cancellation agreements etc. Ensures that financial month / year-end procedures and timetable as it relates to the building are implemented accurately and promptly Ensure integrity of MRI vacancy schedule for the building / centre Maintain a record of renewals in progress leasing activities and risk associated with the renewal pipeline Performs miscellaneous administrative duties in support of the team (i.e. responsible for the follow up of outstanding lease documentation liaising with renewing tenants in terms of the lease negotiations etc) Ensures that the policies and procedures laid down by management are followed accurately at all times. Assist the Property/Centre Manager with various duties where required Role Qualifications and Competencies: Appropriate financial degree/diploma and approximately 2-3 years finance experience Three to five years relevant experience in a related property management environment. Logical/practical/time conscious able to plan and work to deadlines Assertive be solutions driven Sound business judgment Integrity PC skills producing reports analysing and manipulating figures experience with the operation of a computerised financial accounting system Ability to consistently deliver high quality customer service in a professional manner Ability to handle multiple tasks concurrently effectively and accurately Good communication skills Strong team player Ability to work as a team as well as independently Ability to handle confidential information Ability to plan and organise priorities documentation and activities while keeping track of details Ability to adhere to timetables and meet deadlines Initiative drive and judgment Ability to follow up to ensure all necessary tasks have been completed Filing logic and organisation skills Ability to interact with all levels of staff and clients please feel free to contact Abbey Kay with any further queries - email or to apply for this vacancy. Junior Facilities Manager

This role is responsible for providing technical and financial management and expertise on a designated portfolio on behalf of clients either directly or through the selection and management of outsourced service providers. The incumbent is individually accountable for achieving results through own efforts over periods of 3 months. Key result areas and work descriptors: GENERIC KRA s: Budget Control Compiles financial expense budget for repairs & maintenance and soft services for designated portfolio. Maintenance Services Management Maintains building assets in accordance with the official investment strategy for each building asset. Maintains buildings efficiently and keeps them financially optimal in all respects. Personal Effectiveness Accountable for service delivery through own efforts. Individually accountable for managing own time tasks and output quality for periods of 3 months. Makes increased contributions by broadening individual skills. Collaborates effectively with others to achieve personal results. Accepts and lives the company values. Reporting Compiles monthly management reports - technical and financial. Risk Management Manages and controls risks in respect of machinery plant equipment fire services and electrical reticulation. Soft Services Management Manages soft services. Technical Services Management Individually accountable for administering and managing designated portfolio professionally and effectively and in accordance with OMP policies and procedures through own efforts. Manages and controls energy and general utilities in designated portfolio. Plans coordinates and controls all technical and facilities management activities for designated portfolio on behalf of OMP and its clients. Keeps abreast of new equipment technology material work methods and techniques. Ensures and manages the replacement of dated technology. Manages and controls general utilities. Role Qualifications and Competencies: Engineering Diploma in mechanical or electrical with 2 yrs experience/ registered mechanic or electrical artisan with 3 yrs practical experience.
