Setup accommodation and entertainment arrangements for company visitors or VIP clients Create transcribe and distribute meeting agendas and minutes Welcome GUESTS and customers by greeting them in person or on the telephone; answering or directing inquiries. Perform general clerical duties to include but not limited to: photocopying faxing mailing and filing Preparing reports by collecting and analysing information Maintains customer confidence and protects operations by keeping information confidential. Provides historical references by developing and utilising filing and retrieval systems in hard copy and electronically. Update and maintain weekly and monthly forecasts and adjust plan based on performance trends and communicate to the rest of the business. Ensure that the sales model is in line with the campaign plan and financial flow plan Update the sales model on a monthly basis to reflect intake net sales value pass rates customer breakdown mail quantity and new agents. Continuously track review and manage the quality of the customer acquired. Grow average intake value performance per agent on a monthly basis. Maintain a low goods returned percentage in relation with acquisition average. Track expenditure against budgets and manage variances. Direct sales agent management Ensure operational sales agent efficiency and monitor compliance within the defined parameters and structures. Ensure agent base growth and performance to deliver against year s objectives and targets. Implement recruitment and corrective actions if required to manage agent attrition. Motivate to ensure new customers are continuously generated by the sales agents and manage the quality of customers acquired. Implement performance management to ensure order quality. Provide framework to support high performance Co-ordinate and oversee campaigns to recruit train motivate and incentivise staff within the sales agent business. Process and procedure management Develop implement co-ordinate and report on processes policies and functions of the sales agent business. Monitor review and refine operational processes to improve the efficiency of the sales agent business and to achieve gross sales value target on a monthly basis. Oversee processes and systems development in conjunction with the senior manager and other departments within the group. Ensure that processes and procedures are streamlines between the provinces and motivate and manage any change that needs implementing to increase sales. Test and monitor processes and systems ensuring they are adhered to and support best practice business objectives. Communication material management Develop agree and implement communication and motivation plans for the sales agent business. Initiate develop brief approve and manage all communications material to sales agents including the creative and production process. Liaise with the agents and advisors to ensure consistency and uniformity throughout the business. Project management Research investigate and implement all ad hoc projects to improve the overall system processes costs and timeline efficiencies as required by the business and/or line manager. Ensure that projects are executed according the company s project methodology. Analysis and reporting Compile issue and present standard daily weekly and monthly reports according to business needs and requirements timeously. Analyse weekly intake and generate sales report to business with recommendations. Generate sales agent performance reports and manage agents performance and risk accordingly. Monitor and report on sales mail branch regional and support performance. Continuously analyse trends related to sales quality and risk management and make recommendations to management. Generate and issue ad hoc reports through analysis to provide management with key statistics and trends identified and provide recommendations to act accordingly. People management Give guidance and instruction to teams of support staff on operational matters. Ensure sales agent advisor operations team are adequately equipped to ensure that their performance is managed according to required business standards. Ensuring that all employees have KPA s in place which to manage performance levels that adequately reflects expected performance outcomes and defines appropriate competencies and behaviours of the role. Improving overall skill levels within the area by ensuring personal development plans are in place to address development needs and career aspirations. Managing any succession risks by identifying key personnel and developing appropriate succession plans with defined development initiatives to achieve career aspirations. Promoting staff engagement by ensuring adequate measures is in place to address pulse survey results. Ensuring adequate and appropriate departmental infrastructure is in place to deliver against KPA s. Minimum Requirements Grade 12 (Matric) with a relevant tertiary qualification in Sales / Marketing. Key Competencies Required 7 Years sales experience preferably within a retail / financial services environment of which 3 to 5 years should be at management level. Proven people skills with effective experience in training managing mentoring and evaluating sales reports and performance. Proven track record of meeting and exceeding revenue targets. Advanced MS Office. Experience in the direct sales environment will be advantageous. Attributes Energetic and enthusiastic.
