Key Tasks and Responsibilities: 1. Efficient meeting organization Responsible for at least 3 committees and any other committee ad hoc meeting (if required)) Timeous and accurate preparation and distribution of agendas minutes matters arising schedule and any other documents and information requirements flowing out of committee meetings. Schedule meetings (arrange venues catering equipment agendas and parking) Timeous communication and confirmation of meeting dates and times co-ordinated through meeting requests. Preparation of all documentation required for meetings - i.e. meeting pack Accurate professional and efficient minute taking Preparation of matters arising out of committee meeting Responsible for the follow up and auctioning of matters arising to ensure resolution thereof Responsible for collation of meeting attendee information i.e. collation of RSVP s and timeous communication to both committee chairperson and regional executive of any risk of the meeting not being quorate. Inform Office Assistant of changes to committee member detail 2. Effective Administration Timeous and accurate typing faxing photocopying filing and e-mailing of all documents. Preparation and typing of documents according to agreed format. Draft budget (including accruals and projections) for committee meetings 3. Event implementation For specific events prepare a detailed list of invitees from master guests lists i.e. check correct titles and information. Draft individual event seating plans (i.e. group relevant guests together at tables) for approval. Co-ordinate and oversee the collation of the handouts/documentation for events. Manage the printing and preparation of event stationery (e.g. name tags place cards etc.) Monitor number of attendees booked per event in relation to the expected number and keep the Services Manager/Regional Executive appraised of this for possible follow-up action. Co-ordinate the sourcing and packing of all the items on the individual event checklists (includes following up with the relevant parties e.g. sponsors on receipt of items due by them). Responsible for the dissemination of items on the event checklist to the venues and/or regional offices. Responsible for updating event evaluation reports. Register delegates on the IMIS system if and when required. Compile invoice forward invoice and confirmation of attendance via email to the delegates. Timeously monitor and advise Services Manager of dietary and or any other requirement to be advised to the venue After the event draw a delegate contact detail list from IMIS to be submitted to the sponsor within the agreed timeline. 4. On the day event management and implementation Responsible for the set-up at the event. Responsible for managing the registration desk (includes briefing of staff). Responsible for clearing-up at the event. Responsible for the collection of payments at the event if and when required. Responsible for dealing with additional arrivals and or replacement delegates at registration. Responsible for completion of event report. Responsible for loading event onto CPD laptop ensuring correct procedure used for recording CPD via membership card on return to Secretariat ensuring data is exported into the IMIS system. Responsible for ensuring that completed evaluation forms are captured into IMIS. Responsible to scan evaluations forms to identify any issue which has to be addressed urgently and bring this to the attention of the Services Manager. Debtors follow up and handover as per agreed debtors Service Level Agreement (SLA). Post mortem compiled to close the event. 5. Assistance with Events Co-ordination Assist with arrangement of venues catering for events and functions in the Eastern Region Provide assistance with registration assistance to the National Seminars and Events Department) as and when required. Develop checklist and confirm with project leader if and when required. Perform the administrative process for events: Printing seminar registration pack Liaise with venue co-oridnators to facilitate the professional hosting of the event/seminar Complete and submit seminar report to SAICA national 6. Queries Responsible for responding to event queries. 7. Effective and Professional internal and external communication Screening of calls message taking and follow ups on queries 8. Do reception/Switchboard when required 9. Front office duty when required Arrange parking as and when required Admits visitors to the building as and when required Receives visitors and call the respective staff member to collect their guest Refers visitors to the correct department or person to handle their queries Receives and signs for deliveries made to reception 10. Financial Administration Compile draft budgets in consultation with project leaders for events and functions as and when required. Debt collection on outstanding payments for seminar/events 11. Customer Service Willingly help other members of staff and perform any other duties assigned in a spirit of co-operation and teamwork within the SAICA Secretariat Deal with telephonic queries To treat members/associates & committee members & the general public contacting the Institute with a professional approach. To be service orientated in dealing with members/associates/committee members and the general public.
