Processing of Suppliers and other invoices: Receive all suppliers and other invoices Receive copies of all orders generated internally Match up orders to suppliers invoices and ensure that the price quantity and description on the invoice agrees to the order Collate all import related documents where necessary All suppliers invoices to be captured onto Pastel within expected turnaround times required by the Company Ensure all suppliers invoices are processed to the correct general ledger account in Pastel Ensure that VAT is claimed correctly At month end all suppliers accounts in Pastel are to be reconciled to suppliers statements Prepare a list of all creditors to be paid at month end within expected turnaround times required by the Company Management of Debtors and Collection of outstanding debts: Review of debtors age analysis on a daily basis and phone all customers who are due for payment Clients should also be called in advance to remind them that a payment is due Provide a weekly forecast of all customers who are due for payment Debtors statements to be posted weekly Debtor accounts should be reconciled in order to answer customer queries and know which invoices are outstanding Responsible for Support for Receptionist and Ordering off Siemens and Omron: Backup support to Receptionist and to placing orders on Client s order system on behalf of the sales team Responsible for all Statutory Company Requirements SARS Payroll and Commission: Responsible for Processing payroll wages VAT and PAYE Responsible for Fixed Asset Register Required to be able to deal with SARS and the Company Auditors and any other requirements around regulations or legislation in respect to the Company.
