Field Solutions Division Sales Proposals Specialist - KZN

Employer: Yokogawa South Africa (Pty) Ltd To provide Sales support to Front Sales staff, Agents and Resellers by managing & processing all sales-related enquiries and RFQ s, preparation of professional Quotations, and the subsequent handling of Sales Orders, for both the KZN region and/or any overload requirements from other Yokogawa offices, timeously and strictly in accordance with the Company s internal systems and processes. Fully understand and align oneself with Yokogawa s Goals, Mission and Objectives. Professionalism and projection of a proper image of the company and the Sales Proposals Specialist role at all times. Fully acquaint oneself with the internal YMA (Yokogawa Middle East & Africa) processes, particularly those directly affecting sales and marketing activities. Contribute to the well-being of the company(ies) by maintaining positive working relations with colleagues and members of support structures. Familiarise oneself with and display a solid understanding of Yokogawa s full range of Products, Solutions and Services. Be fully informed about the functions, capabilities and work processes of all business units within the Yokogawa affiliate. Manage all e-mail, fax and telephonic enquiries and RFQ s received/addressed to the KZN office. In the absence of the local manager or senior company representatives, ensure office wellbeing and image to customers. Liaise with Front Sales staff, agents and customers for issues relating to administration including Customer/End-User and Opportunity registration in CRM. At all times validate information and ensure utmost accuracy of data entered into CRM and NMP. Analyse and identify customer requirements for instrumentation & control products or solutions. Match the customer request to existing products and/or 3 rd party products where possible. Prepare quotations using CRM, and the NMP Quote Tool, in strict compliance with Yokogawa internal systems & processes. Meet or exceed departmental metrics wrt response time (RFQ, Enquiry), Quote/PO turn-around time and quality. Perform fit-for purpose instrument specification/sizing accurately using approved product sizing/selection programmes/tools, e.g. RYG Flow Sizing calculator. Guide customers in product application, escalate technical queries and requests for solutions to Product Specialists where necessary. Prepare Technical & Discount Tokuchu requests and approvals as required. Ensure TCAS and other regulatory/approval processes are strictly adhered to in accordance with internal systems and processes. Communicate with sub-vendors to obtain offers for 3rd party & buy-out items. Upload copies of quotations, 3rd party offers, and Tokuchu approvals into CRM. Ensure CRM is kept updated with its latest opportunity status. Manage and prepare subsequent customer orders for hand-over to the P&L department timeously and strictly in accordance with internal systems and processes while ensuring that customer-specific order requirements are met. Partner with relevant departments (P&L, Front Sales and Agents etc.), to maintain accurate feedback loop. Familiarise yourself and be proficient with all work flows/functions within the FSD Internal sales department in support of rotational or stand-in requirement. Facilitate resolution of external and internal queries relating to Expediting and Order status, When called upon, support Front-end sales teams in the preparation and delivery of pre-sales, sales & post bid techno-commercial clarifications & presentations to customers. Ensure that risk to the company is minimised by compiling appropriate responses to customers commercial terms and where there is uncertainty, acquire in-house legal counsel and/or escalate to the FSD Manager Identify changes to scope and document in accordance with change management procedure and bests practice. Ensure effective and compliant handover of order processing to Procurement & Logistics team as required by procedures and generate / monitor order tracking report. Escalate delivery problems to management in order to prevent risk to customer satisfaction. Ensure professionalism and projection of a proper image of the company and the Internal Sales team at all times. Participate as a member of the sales team in the pursuit of its business activities especially at sales meetings, training sessions and if required, shows and conferences. Adhere to the Yokogawa Authorisation Rule. Protect the organisation s values by keeping information confidential. Acquaint oneself with and strictly adhere to the following Yokogawa policy documents in order to align oneself with corporate objectives: Yokogawa Code of Conduct. Yokogawa Anti-Bribery/Anti-Corruption Code of Conduct. Yokogawa HR Manual Yokogawa Accounting Procedures Yokogawa Quality Management System YMA Compliance Guidelines YMA Rules and Standards of Sales Activities Any other YMA compliance guideline documentation that governs specific sales activities. Abide by the company s health and safety policy by ensuring the following: Must execute work in such a way so as to not endanger himself/herself or others. Must inform himself/herself about Health and Safety instructions and procedures and participate in organised training. Must take care of optimal working conditions by using equipment in the correct manner and in accordance with instructions. Must alert noticed dangers to the managerial staff. Carry out, in addition to day-to-day sales activities, any tasks as deemed necessary by the regional manager or senior managers and respond positively to any other reasonable request pertaining to the job. Candidate Requirements Proven experience in the field of Industrial Control & Instrumentation. Ability to combine technical expertise and skills with adequate engineering understanding is required. Confident individual with ability to communicate effectively with good customer service skills. Ability to work individually without supervision and within a local/international team environment. Disciplined, systematic, strong work ethics, reliable, ability to multitask and ability to work under pressure. Ability to maintain a high level of attention to detail. Essential : 3-5 years technical experience in the Industrial Control and Instrumentation industry. Technical or Internal Sales/Support experience. Essential : National Diploma in Electrical Engineering or Industrial Automation related subject. Technical or internal sales/support experience a must. Understanding of Fundamental Principles of Control & Instrumentation. Microsoft Office literacy. Fluent in English. Excellent Communication Skills both verbal & written.
