Sandton based Legal firm seeks a Legal Secretary in their Technology Media and Telecommunications and Intellectual Property group with Matric and a relevant tertiary qualification(B Degree or Legal Secretarial studies) and relevant experience as a Legal Secretary in a law practice (specialising in Intellectual Property) Knowledge of the following: How to open matters Ability to handle accounting issues and billing procedures Standard document template (how to access and complete templates in line with house rules) Conscientious approach to work (follow a defined process complete jobs plans and meets deadlines) The purpose of the role is as follow: A range of secretarial and administrative support services in relation to Commercial Intellectual property matters and Intellectual Property litigation ensuring that all legal work is processed administered and filed in a efficient and orderly manner on a daily basis. Candidates need Legal Secretarial experience in Intellectual property and be proficient on Patricia in order to assist management of Intellectual Property portfolios (includes dairy management) Dealing with Trade Mark matters (administering domestic and foreign trade mark portfolios reporting communications to clients filing of trade marks dealing with the prosecution of trade marks from filing through to registration document processing as well as other administrative duties) Assist with training related to Patricia Duties include: Word Processing & Filing ï Type check and file legal documentation & correspondence (both commercial and litigation) using the firm s standard templates. This includes Dictaphone typing. ï Maintaining an efficient and effective team filing system. ï Check documentation drafted by legal professionals to identify query and in need rectify errors and/or inconsistencies with house rules and standard legal practice e.g. incorrect order of rules. ï Download and/or integrate e-mail file attachments from clients i.e. spreadsheets and graphs checking to ensure that format settings are upheld and that data integrity is not compromised. ï Re-format and re-phrase typed documents where necessary. ï Scan relevant documentation into File Site under matter number and/or Patricia. ï Save all relevant e-mail correspondence onto matter number in worksite. ï File all documentation and relevant correspondence in date and time order. ï Access and retrieve information from File Site and Patricia as requested. Invoicing & Collections ï Managing invoicing and collection process including making amendments to time and narratives as required itemised billing drafting tax invoices adjustments final accounts account queries and requisitions. ï Calculate billing and conversion rates for foreign currencies where relevant. ï Gathering and processing requisite FICA information from clients and/or parties responsible for invoice payments. ï Follow up with clients after 30 days to collect invoice payments and keep a log of all client contact. ï Escalate problematic invoice payment problems to fee earners in need and monitor and record payment status. ï Escalate outstanding invoice payments to Finance Credit Control after 90 days. ï Check and assist Finance with account allocations in need. ï Process expenses as authorised. Legal Administration ï Open up matters for new clients on e-works and Patricia and collect all the requisite client details and documentation. ï Draft routine documentation and correspondence e.g. general letters and/or e-mails on a no check basis in line with established precedents and practices. ï Check to ensure that all requisite documentation requirements are in order. ï Follow up with clients and other parties to ensure that outstanding documentation is received. ï Close (archive) files on e-works and Patricia. General Office Support ï Answer and screen telephone calls take messages and greet clients ï Schedule and confirm diary appointments as requested. ï Arrange conference call facilities. ï Arrange catering requirements for meetings. ï Arrange logistics for conferences i.e. venue travel catering accommodation presentation and documentation requirements. Private Administration ï Assist fee earner by attending to private matters on her behalf. Teamwork ï Support others in the team when own work is complete. ï Maintain a collaborative working relationship with other non legal support areas in the firm e.g. IT Finance HR and Marketing. or to apply for this vacancy.
