Facilitate all supplementary and deferred exams for the campus. Responsible for ordering examination stationery. Make necessary preparations and set up for students with special needs. Open and maintain a personal file for every enrolled student. Ensure that all documents pertaining to student files are uploaded to the Callista system. Make arrangements for candidates who are not students at this campus to take examinations, where feasible. 2. Preparation for the Graduation Ceremonies: Prepare and analyse data from the student records system to be used when confirming the eligibility of students to graduate. Ensure that eligible candidates are invited to the appropriate graduation ceremony. Take responsibility of the student registration records and consolidate the information. Maintain up-to-date information on graduation related databases and spreadsheets of eligible students and their details including using the records system to retrieve students results. Liaise with Marketing / Advancement produce graduation tickets for ceremonies. Work closely and liaising with the events team to ensure that graduation materials are produced in a timely manner. Make detailed arrangement for the administration of each ceremony. Ensure the production of seating numbers, preparation of the tickets for each graduate. Calculate the number of extra tickets available for each ceremony. Keep a record of any individual student and/or guest seating requirements and make the appropriate arrangements. Work with the Student Fees to ensure that eligible students attending graduation do not have any outstanding academic fees. Ensure that all students who have registered to attend graduation who have outstanding academic fees are informed that they are not eligible to attend the ceremony. Assist with the production of Monash South Africa certificates, transcripts, and any other student documents, adhering strictly to the guidelines and deadlines. Ensure that the award certificates are collated correctly for each graduation ceremony. Act as the main day-to-day contact point for enquiries from staff and students relating to graduation ceremonies. Ensure students are kept informed of developments and deadlines relating to graduation including registration, gowning and tickets. Responsible for working with the Graduation Working Group, fulfilling an officer role to the meetings and producing the minutes in a timely manner. Responsible for ensuring that an accessible and effective registration and enquiries service is provided for each ceremony. To ensure that the registration and enquiries desk is appropriately staffed before, during and after each ceremony. Responsible for hiring and training student assistants to be ushers. Work closely with the events team to manage any queries including health and safety, lost property and supplier issues after graduation. To ensure that any remaining certificates are mailed to students in a timely manner. Ensure that data used at each set of graduation ceremonies is appropriately filed and archived. 3. Other Duties To maintain a good working relationship with other divisions within Student Administration and provide support to the other units during their busy periods. Participate in all Student Administration events and activities including student enrolment, and other duties as necessary. Maintain the confidentiality in respect of all areas of responsibility and adhere to the current Monash South Africa Data Protection Policy. Undertake any staff development deemed necessary for the effective performance of duties assigned to the position. Undertake any other duties as directed by the line manager or his/her superiors within Student Administration, commensurate with the level of the post. Key Selection Criteria: A tertiary qualification together with three years experience as an administrator. A minimum of three years experience in examinations preferred. Experience in locating and assembling resources required to effectively carry out duties. Ability to relate well to students from a range of different cultural and educational backgrounds. Effective written and oral communication skills. Data entry skills with a high degree of accuracy and ability to become a proficient user of the Monash database. Intermediate to advanced skills in Microsoft Word and intermediate Excel and Access skills. Experience user of email and the internet. Ability to work as part of a small team in a rapidly changing environment. Ability to work effectively under pressure, organise work flows and manage a wide range of tasks.
