DataFin Recruitment CRM Systems Coordinator (EE) ENVIRONMENT: Our client based in Cape Town is looking for a CRM Systems Coordinator to be part of the Business Development Unit will be responsible for the day to day administration of the company s South Africa s CRM systems which include the Microsoft Dynamics CRM database solution Bulk Mail application as well as the company s Website. DUTIES: Data Integrity And System Performance Assist CRM Systems Analysis in constantly reviewing data integrity on the CRM system - i.e. run duplicate checking job daily/weekly assign merge records to owners and assist in clean-up of redundant data (i.e. merged duplicate records; contacts where no info other than a name/surname is found - no other activity or entity activity linked) Based on contact scoring assist administrators in removing invalid contacts/records (categorise contact for re-opt-in campaigns and get rid of dormant/redundant records in the database Assist in developing tooltips and field masking where possible Assist in rebuilding database indexes on a regular basis to ensure optimal performance Review system requirements specifications from a testing and performance perspective Communicate confidence level in software to all project stakeholders Assist in manually conduct the system testing from beginning end-to-end regression integration functional and non-functional Helpdesk Provide data system help-desk support to the users of the systems. Develop and implement a system case log to manage help-desk requests better. Develop and maintain a system case log report on cases logged resolved and unresolved and ensure appropriate knowledge base articles are created and stored Develop troubleshooting referring to solving possible problems and errors Support the Systems Analyst in assisting users generating custom reports as and when required - Advance Find SQL reporting and SQL Web Reporting Service Bulk Electronic Communications Draw IP reputation reports after each bulk mail campaign for review Assign bounce-back activities to owners of records Monitor network rejections and contact system administrators to request whitelisting on their domains as and when required (with V206) Assist in ad-hoc bulk-mail design (Invitations - assist with setting up campaigns load html (pre-designed or from templates in CRM) and assist end users with marketing list compilation or comparisons where necessary) Manage subscription (Bulk mail programme); execute manual unsubscribes Manage bulk mail complaints - check and remove from CRM mailing lists - inform owners of records Regular updating of new subscribers to marketing lists Ensure all responses are created as contacts and assigned to the correct owners in CRM Write Advance Find queries. Train list owners on keeping lists up to date and how to send e-mail to the list members from CRM Systems Administration Ensure the technical functioning of the data systems are maintained with seamless integration and minimal disruption. Manage security roles - administer access rights and prevent unauthorised access. Review and assess on a frequent basis all existing workflows in CRM and create new workflows where necessary Engage and coordinate with teams and service providers to ensure that committed project deliverables are met and audit all system changes. Ensure the technical functioning of the systems is maintained. Download and import transactions daily (resolve SQL errors when necessary). Download and import Multidata transactions - monthly on the 1st of every month. Download and import 3rd party payment platform data. Monitor Integration jobs daily for errors and escalate for immediate action. Review iframes in database - ensure in working order and spot checks to ensure update integration jobs are functioning correctly and updating correct values. Review all system generated activities daily and run workflows to close completed system activities. Assist with customization of existing and new CRM. Assist with the design or updating of Vforms in CRM. Continuously review system for improvements/updating and report requirements to the Systems Analyst Website: With A Focus On Business Development/Fundraising Assist in keeping Business Development webpages up to date - create new update/improve and/or redesign Assist Business Development/Fundraising with drawing and preparation of Google Web Analytics Reports Continuously review the CRM/Website integration tools functioning - daily checking for errors/anomalies. Manage minor errors and report major error to the CRM Business Analyst REQUIREMENTS: Qualifications Microsoft certification (e.g. MCSA MCSE and MCITP). Information Technology Degree (advantage). Experience At least 2 year experience as a CRM Systems Coordinator or similar role. At least 2 year experience in IT infrastructure.
