Shop Manager

ENVIRONMENT: This Cape Town based company requires a Shop Manager with Grade 12 (Matric) minimum of 5 years retail experience of which 3 years have been at management level must be proficient in MS Office (Outlook Word and Excel) with proven experience of cash management to join their team. DUTIES: Key Performance Areas Administration and Reporting Ensure the shop opens on time that all opening procedures are followed and alert management to any concerns. Arrange staff schedule (including breaks and lunches) and logging staff schedule adherence and attendance. Alert management to any concerns. Cover shop assistant duties when required. Prepare daily weekly and monthly business reporting. Conduct daily weekly and monthly audits or price stock transfers and system actions which needs to be signed off by management. Stock Management: Oversee daily and periodic stock takes as per policy; investigate discrepancies; sign off and file stock sheets and alert management about any discrepancies. Oversee stock transfers to and from the warehouse as per policy investigate stock and price discrepancies sign off and file stock sheets and alert the warehouse / merchandise / management about any discrepancies to decide on a course of action. Liaise with the merchandise department to adjust stock prices and to arrange promotions on products to drive sales whilst keeping management informed of any concerns. Order stock from the Warehouse based on customer demand business units quantity available and stock ageing. Collate and provide constructive feedback on fast and slow-selling stock items. Manage stock orders whilst taking constraints into consideration such as storage space and stock on hand. Reduce stock shrinkage through effective stock management and controls and alert management to any concerns. Achieve stock control targets in line with company guidelines to prevent financial loss. Ensure that the visual presentation of the store represents the brand image as per the directives received. Support the delivery of all promotional campaigns including name gathering and competitions. Ensure adherence to stock policy in regards to stock management transfers pricing and stock security. Cash Handling: Audit control and sign off on daily cash-up cash deposits and reporting. Present to management for periodic audits. Audit daily cash-ups reconcile till speed points and smart box to final cash total. Communicate with Security Guards on a daily basis in accordance with the Company s policies and procedures. Manage shop expenses in line with the agreed budget. Shop Security: Ensure that shop security management are in accordance with the Shop security policy. Ensure that security s presence is maintained and upheld. Customer Service: Support the management of customer service activities and staff competence so as to optimise and sustain sales performance and customer delight. Effective management of team: Lead the team to grow and exceed profitability targets. Ensure team members have clear and tangible goals which are assessed bi-annually through the KPA performance management process. Providing effective leadership to team members in order to achieve optimal efficiency. REQUIREMENTS: Qualifications & Accreditations: Grade 12 (Matric) is required. Experience & skills: Minimum of 5 years retail experience of which 3 years have been at management level. Proficient in MS Office (Outlook Word and Excel). Proven experience of cash management. DUTIES: Key Performance Areas Management reporting Ensure accurate management accounts are issued to the business by the monthly deadlines. Ensure timely completion to the management accounts cash flow report by the monthly agreed deadlines. Perform a monthly analysis of the creditors and accruals accounts for purposes of completing the cash flow report above. Ensure correct forecast and comparatives reflects in management accounts. Ensure appropriate accrual journals are raised at each month end. Ensure correct tax entries are processed at each month end. Ensure reports are considered and updated to comply with and address business needs. Ensure that large variances are investigated and feedback provided to Financial Manager. Attend monthly management account meetings with the various business units to discuss queries and address action points. Continuously work at improving reporting deadlines and qualitative value of management accounts and supporting schedules to better meet the needs of the various business units. Liaise with various departments to ensure timely and accurate information is received for input into the management reports. Processing of month-end journals: Performance of standard month end journals. Reviewing of management reports and processing of correcting journals where appropriate. Review and interrogation of reports received from 3rd parties which are used as part of the month end journal raising process. Cash clearing and daily cash reporting reconciliation: Review daily cash reconciliations performed by the cash book clerk. Update daily cash movement report for the company. Prepare daily cash receipts e-mail for distribution to senior management. Investigate and comment on reasons for large variances between actual and forecast reporting. Prepare the monthly cash clearing reconciliation ensuring that all timing variances are appropriately recorded and reconciling items promptly investigated and resolved. Supervision of staff: Review and provide feedback on the work of the cash book clerk and reconciliation clerk to ensure that all is up to date and properly completed. Assistance to be given to relevant staff to ensure that they understand what is required of them to perform their tasks. Exercise appropriate planning to ensure that staff deadlines for management reports are met. Ensure that all direct reports have KPA s in place against which to manage performance levels that adequately reflects expected performance outcomes and defines appropriate competencies and behaviours of the role. Ensure that all direct reports have development plans in place which appropriately identifies areas of personal and professional development and includes tangible development goals. Review of month end reconciliations: Review month-end reconciliations as prepared by direct reports to ensure that: Reconciliations are completed on a monthly basis by the agreed deadline dates. All reconciliations are appropriately reconciled to general ledger balances. All reconciling items are valid. All reconciling items identified are promptly investigated and resolved. Adhoc activities: Performance of various adhoc activities to support the finance department in achieving its reporting objectives including but not limited to: The completion of applications for foreign payments. Receiving and analysing salary deduction and staff purchase reports and preparation of allocation journals per department. Processing of requested correcting / adjusting journal entries. Performance of any investigations requested by the financial manager or finance director. Preparation of any adhoc reports as requested by the financial manager or finance director. Completion of any forms / returns as requested by the financial manager or finance director. Preparation of any schedules required as part of the year end audit process. REQUIREMENTS: Qualifications Bachelor of Commerce. Experience & Skills 2-5 Years management accountant experience. Previous experience in the review and preparation of management reports. Previous experience managing high performance teams. Knowledge of finance accounting taxation and financial management. Knowledge of automated financial and accounting reporting systems.
