Role Purpose: To establish and maintain a functional document management system (DMS) to facilitate the efficient execution of projects. Document control and validation : Ensure that all documents have been quality checked and approved prior to submission to the next department; Review and evaluate the project environment and existing document management processes; Ensure that all documents are correctly numbered indexed and filed within the DMS User-friendly and up-to-date DMS; Documents processed accurately and timeously; Feedback/ reporting. System development: Design and develop the DMS; Define and establish control and check points to allow for continuous monitoring of procedure implementation; Continuously improve and optimise DMS; DMS needs to be developed implemented and maintained. Tender procedure: Facilitate tender procedure and make accessible on DMS; Distribute tender documents timeously to stakeholders; Develop and maintain tender register; Success indicators: Approved tender procedure and Tender documents timeously delivered. Auditing: Perform regular audits on DMS; Audit reports. Document management procedures and compliance: Effectively follow the company s standard operating procedures (SOP) in submission of documents; Ensure that document control procedures are adhered to across the business; Attend to non-conformances by liaising with the relevant stakeholders and raise non-conformance report where required; SOP s and company policies adhered to; Compliance ensured and maintained. Customer and client relationship management: Render professional customer support services; Identify documentation interfaces between the client and the other project participants; Develop and maintain open communications and positive working relationships with all relevant stakeholders provide advice and support when required; Client/stakeholder satisfaction survey results; Audit reports; Qualifications: Grade 12/Standard 10/ NQF level4 (Essential).
