Tasks: Tenders: Work together with Project Manager to determine bill of quantity. Request quotes where necessary Source Suppliers: Find and evaluate suppliers negotiate terms and contracts. Source suppliers in line with Mehleketo Procurement Policy Procurement Policy Compliance: Review update and adhere to Mehleketo Procurement Policy at all times. Ensure all decisions and transactions are made in line with Policy Structure and Procurement Processes : Ensure that the Structure and procurement processes are efficient and effective and if not- re-engineer to optimise Preferred Suppliers: Create and manage a preferred supplier list Requisitions: Receive Requisition from Project Manager/ internal Mehleketo staff. Source quotes from suppliers and make recommendations to Project Manager/ internal staff based on compliance requirements a) Determine is this item in existing stock in the workshop b) Evaluate should the item be rented c) Evaluate should the item be purchased d) Propose alternatives Construction Schedule: Prioritize and forecast required resources in line with construction schedule. Plan the sequence of events to ensure all goods are ordered taking lead time into account; arrive on correct time in correct order in order to optimize project success Allowable Expenditure: Measure costs of required resources against allowable expenditure as per requisition and escalate if over allowable Complete Purchase Orders (PO): Complete purchase order and obtain required authorisation in line with procurement policy Execute Purchase Order : Send purchase order to supplier arranging payment via finance (proforma invoices) arrange delivery/ collection Reconcile Goods Received Notes to PO: Confirm with site that supplies have arrived according to specifications. Ensure Goods Received Notes (GNR s) are received from site reconcile to purchase orders (PO) forward to finance for payment. If GRN does note reconcile to PO resolve with supplier immediately to ensure correct goods are delivered so as not to delay progress of operations. Confirm correct goods arrive on site Supplier First Point of Contact: Ensure effective communication with suppliers and be the first point of contact for Suppliers Resolve Complications: Resolve first and second level complaints in the procurement and delivery process. Escalate when necessary Supply Chain Planning: To ensure maximum efficiency and least cost of ownership (this ensures profitability) Supplier Networking: Build and Maintain relationships with all key suppliers to the business Product Knowledge : Keep abreast of advances in suppliers product range and industry tools and communicate possible advantages of using this product internally to internal clients People Leadership: On an on-going basis review Buyers orders and decisions coach and advise to ensure that the Procurement Policy is upheld. Perform the leadership functions related to training performance management recruitment coaching and portray constructive interpersonal skills at all times Internal Communication and Co-ordination: Get authorisation from relevant parties where necessary liaise with finance regarding upcoming payments keep internal customers informed of progress update on each item. Liaise with Logistics Administrator Workshop Administrator Creditors Clerk Construction Managers Project Managers to co-ordinate scheduling and availability of requirements in most effective and efficient manner or to apply for this vacancy.
